Polish E-Deliveries (e-Doręczenia): What Businesses Need to Know

Poland’s e-deliveries (e-doręczenia) system is now mandatory for businesses, replacing traditional mail for official communication with authorities. With the updated Act on E-Deliveries in force since January 2025, companies registered in KRS and CEIDG must set up an e-delivery mailbox to stay compliant. Here’s what businesses need to do to meet the new requirements.

 

What Is E-Delivery in Poland?

E-delivery in Poland is a secure, government-mandated digital communication system that allows businesses and state authorities to exchange official correspondence electronically. Introduced under the Act on E-Deliveries, which new version came into force in January 2025, e-deliveries (e-doręczenia) will gradually replace traditional paper-based communication.

For companies registered in KRS (National Court Register) and CEIDG (Central Register of Business Activity), setting up an e-delivery mailbox is or will become a legal requirement. This system ensures faster, safer, and legally verifiable communication with tax offices, courts, and other public institutions.

 

Who Must Register for an E-Delivery Mailbox?


KRS-Registered Companies

  • Companies registered in KRS before January 1, 2025, must set up an e-delivery mailbox by April 1, 2025.
  • Companies registered in KRS after January 1, 2025, will have an e-delivery mailbox automatically created during registration.
  • Excluding: attorneys, patent attorneys, tax advisors, restructuring advisors, and notaries –  they were obliged to have it already from the 1st of January 2025.

CEIDG-Registered Companies

  • Companies registered in CEIDG before January 1, 2025, must set up an e-delivery mailbox by October 1, 2026.
  • If any changes (e.g., address updates) are made to CEIDG entries after July 1, 2025, businesses must register for e-delivery at the same time.

Failing to comply with these deadlines may lead to communication disruptions with state authorities and potential legal risks.

 

How Does the E-Delivery System Work?

Every company will need to:

  1. Apply for an e-delivery mailbox via KRS, CEIDG, Biznes.gov official website or an external certified provider.
  2. Appoint an administrator to manage incoming official correspondence.
  3. Monitor the mailbox regularly for tax notices, legal documents, and government updates.

E-deliveries will ensure secure, verified, and efficient digital communication with Polish authorities, preventing lost documents or delayed responses.
